Getting started
MakingInvoices.com is a free online tool to create professional quotes and invoices. You can start right away without an account - your first 5 documents per year are free.
What do you need?
- Your business details (name, address, tax ID)
- Your client's details
- Description of your services or products
- Prices/rates
Start directly
Go to the homepage and start filling in your details. You'll see a live preview of your quote right away.
Create quote
1. Enter business details
Fill in your business details on the left. These are saved so you don't have to enter them again. You can update your details later via Profile.
2. Add client details
Fill in your client's details: name, company (optional), address, and contact information. These appear at the top of the quote.
3. Enter labor costs
Add your work items with a description, number of hours, and hourly rate. You can add multiple lines for different services.
4. Enter material costs
Add materials or products with description, quantity, and unit price. This gives your client a clear overview of the costs.
5. Set sales tax
Sales tax is based on your delivery location. Set your local rate (e.g. 8.875% for NYC) and mark each line item as taxable or non-taxable:
- Tax rate: Enter your local combined sales tax rate (state + county + city). This varies by location.
- Per line: Toggle each line item as "Taxable" or "Non-taxable". Materials/goods are usually taxable; most services are not.
- Automatic calculation: Sales tax is calculated only on taxable items and shown separately on the document.
6. Convert quote to invoice
When your client accepts the quote, you can easily convert it to an invoice. Go to My documents, find the quote and click the convert icon. All details are automatically transferred.
Create invoice
You create an invoice the same way as a quote. The main difference is that you send an invoice after completing the work, as a request for payment.
Create an invoice directly
Go to Create invoice to start with a new invoice. The tool generates a unique invoice number automatically.
Best practices
An invoice should include certain details to be correct. The tool ensures all required fields are present: invoice number, date, tax ID, and a clear itemization.
Adjust styles
Choose from 10 professional templates to give your quote the right look.
Choose template
Click the style icon in the editor to view available templates. You'll see a preview of how your quote will look.
Premium style options
With Premium you get access to extra style options:
- Custom logo: Upload your business logo for a professional look
- Background images: Add subtle backgrounds to your documents
- Custom CSS: Fully customize the styling with your own CSS code
- More fonts: Choose from an extensive collection of premium fonts
- Save style: Save your favorite style as default
Send & download
Download PDF
Click the download button to download your quote as PDF. You can print it or send it yourself via email.
Send directly
Click "Send" to send your quote directly to your client's email address. Your client receives the quote as a PDF attachment.
Save quote
With an account, your quotes are saved automatically. View them later via My documents.
